Vendor terms
$125 standard · $75 with an approved sample contribution or guest activity
One venue table and up to two working staff passes are included. Bring your own linen and display. Apply by April 30, 2027; payment follows written acceptance.
To join the guest experience, approved vendors must purchase a separate ticket to reserve a participant spot: $80 general admission or $110 VIP, limited to two named representatives and subject to availability. Working passes do not reserve guest seating or include guest activities or wellness bags. One staff meal per named representative is included, up to two meals per vendor.
Vendor photos, videos, livestreams, and behind-the-scenes posts require written organizer approval before sharing. Aire & Ease will post its official event images first. Guest consent is also required.
Insurance is required. Email your signed agreement, certificate of insurance, applicable permits, and other requested documents to helloaireandease@gmail.com. Insurance and supporting documents are due May 22, 2027.

Four curated spaces
Up to four retail or guest experience vendors will be selected for June 12, 2027 at Celebration at the Crossing, based on alignment with women’s wellness, quality, variety, and setup needs. Applying does not guarantee acceptance or category exclusivity. Hired event suppliers are arranged separately.
Rates and approved contributions
A standard vendor space is $125; a space with an approved sample contribution or guest activity is $75. The reduced rate requires written approval of the offering, quantity or capacity, delivery, and safety needs before invoicing. Small giveaways do not automatically qualify. There is no commission on sales.
What the space includes
One assigned indoor space, one venue table, and passes for up to two named working staff are included. Each named staff member receives one meal, up to two total. Report meal counts and dietary needs by May 22, 2027; service timing will be confirmed. A staff member who also buys a guest ticket receives one meal, not two. Working passes do not reserve guest seating or include guided activities, wellness bags, or VIP benefits. Table dimensions will be confirmed. Bring linen, displays, payment equipment, packaging, and supplies. Chairs, power, Wi-Fi, extra furniture, and additional staff require written confirmation.
Applications and payment
Apply online at aireandeasewellness.com/request?type=annual-vendor-application or email the application to helloaireandease@gmail.com by April 30, 2027. Online submissions are saved in the private planner. Reviews are rolling; late inquiries may join the waitlist. Written acceptance identifies your space, offering, fee, and requirements. Email the signed agreement and pay through the approved payment method within seven calendar days of acceptance and no later than May 15, 2027. Unpaid or unsigned offers may be released. Applying requires no payment.
Optional event participation tickets
Each vendor representative who wishes to join the guest experience must purchase a separate event ticket in advance to reserve a participant spot. Vendor fees and working passes do not reserve guest seating or include guided activities, wellness bags, or VIP benefits; staff meals are handled separately as described in the inclusions. Approved vendors may purchase up to two tickets for named representatives at $80 general admission or $110 VIP. Tickets include the selected tier’s benefits and are subject to availability within the 150 paid attendee places. A spot is confirmed only after ticket payment and confirmation; applying or signing this agreement does not hold a ticket. The discount cannot be combined with early-bird pricing or other offers or used for resale. Vendors must arrange booth coverage during assigned operating hours and may not leave their booth unattended or break down early. Guest tickets follow the attendee refund and transfer policy supplied at purchase; vendor-fee cancellation provisions apply only to the vendor fee.
Products and guest care
Only products, services, samples, and activities approved in writing may be offered. Sales or guest participation are not guaranteed. Vendors may not use pressure selling, make unsubstantiated health claims, or interrupt guided activities. Clinical services, hands-on treatments, alcohol, open flames, and powered equipment need separate approval. Vendors obtain clear consent before photographing guests or collecting their information; attendee contact lists are not provided.
Licenses food and insurance
Vendors are responsible for applicable licenses, permits, taxes, and product or service safety. Insurance is required for every accepted vendor. Maintain commercial general liability coverage for your business and event operations, with product liability for products, food, drinks, or samples, and professional or service liability where applicable to your approved offering. Coverage must remain active through setup, the event, and breakdown on June 12, 2027. Ask your insurer to confirm that your planned off-site products, services, and activities are covered. Email a current certificate of insurance showing the insured business, insurer, coverage types, limits, and effective dates to helloaireandease@gmail.com by May 22, 2027. Provide copies of applicable licenses and permits, and any requested declarations or endorsements. Coverage limits and any organizer or venue-required additional-insured endorsements will be stated in written acceptance. Aire & Ease and venue insurance do not replace the vendor’s own coverage. Missing or inadequate insurance prevents participation. Food vendors must confirm permit or exemption requirements with the applicable county health department and label ingredients and allergens.
Arrival hours and cleanup
Vendor setup, VIP shopping, general shopping, and breakdown times will be confirmed in the final vendor schedule. Venue access from 6 AM to 9 PM is the organizer’s access window and is not a vendor arrival instruction. Vendors stay through their assigned operating hours, keep aisles clear, protect venue surfaces, and remove their stock, displays, and waste. No early breakdown or space transfer without written approval.
Cancellations and event changes
A vendor who cancels in writing by May 12, 2027 receives a 50 percent refund of the paid vendor fee. Vendor cancellations from May 13 onward and no-shows are not refundable. If Aire & Ease cancels the event, the paid vendor fee is refunded in full. If the event is postponed, the vendor may transfer the fee to the new date or request a full fee refund within seven calendar days of notice. Vendor travel, stock, and other independent expenses are not reimbursed.
Vendor privacy and posting notice
Aire & Ease will share the first official event photographs and recap. Vendors must obtain written approval from the organizer before publicly sharing event photographs, video, audio, livestreams, or behind-the-scenes details, including setup, décor, activities, and unpublished plans. This applies to business and personal accounts, stories, reels, websites, advertising, and third-party submissions. The organizer’s first post does not automatically authorize a vendor to publish; approval must identify the content and permitted timing. Before the event, vendors may share only organizer-approved announcements and promotional materials. Approval to capture content is separate from approval to publish it. Obtain organizer permission before photographing or recording at the event and the clear consent of any identifiable guest before capture or publication. Do not record private conversations, personal disclosures, or guided wellness sessions unless expressly authorized; do not share attendee information. Do not assume that attendance, a purchased ticket, or an organizer photo release grants a vendor permission. Submit proposed content and captions to helloaireandease@gmail.com and wait for written approval. Vendors are responsible for informing their staff and anyone creating content on their behalf. If unauthorized content is shared, remove it promptly on the organizer’s request and contact the organizer to resolve the issue. This notice protects unpublished event content and guest privacy; it does not restrict private logistical communication, honest feedback, or reporting a safety concern.
